Shipping & Delivery Policy

This Shipping & Delivery Policy (“Policy”) governs the logistics operations facilitated through PapaExport.com (“Platform”), a digital B2B export interface operated by Zspeedo Global Solution Pvt Ltd, wherein buyers and Supplier transact goods under various international and domestic delivery terms. By using the Platform, users agree to the terms and conditions set forth below.

 

1. Selection of Delivery Terms (Incoterms)

At the point of transaction finalization, buyers are required to select applicable Incoterms® 2020 rules, which govern the division of responsibilities, costs, and risk between the buyer and the seller. The following terms are supported:

  • FOB (Free On Board)
  • CFR/CNF (Cost and Freight)
  • CIF (Cost, Insurance, and Freight)
  • Door Delivery

The responsibility for transportation, insurance, customs clearance, and associated liabilities transfers in accordance with the selected Incoterm.

 

2. Integration with Logistics Providers

PapaExport.com maintains live API integrations with multiple certified logistics service providers (LSPs) across domestic and international corridors. Upon selection of Incoterms, buyers can choose from a list of pre-vetted LSPs on the Platform, with access to:

  • Mode of transport options (Air, Sea, Rail, Road)
  • Delivery timeline estimates
  • Tariff structures and surcharges

Only logistics partners integrated with PapaExport.com’s backend logistics system are eligible for automatic quotation and tracking.

 

3. Automated Freight Costing and Invoice Integration

The Platform features a dynamic costing engine that:

  • Fetches real-time freight rates based on cargo dimensions, weight, destination, and delivery terms.
  • Incorporates applicable GST, customs duties (where applicable), insurance, and surcharges.
  • Automatically itemizes the logistics cost in the buyer’s proforma invoice and final invoice.

All freight-related charges are transparently reflected and comply with invoicing standards under the applicable laws of India and international commercial standards.

 

4. Dispatch, Documentation, and Handover

Seller’s obligations include:

  • Timely fulfilment and packaging of goods in accordance with agreed specifications.
  • Generation and upload of mandatory logistics and customs documents:
    • Commercial Invoice
    • Packing List
    • Certificate of Origin
    • Shipping Instructions
    • Bill of Lading / Airway Bill (as applicable)

Logistics handover occurs directly between the seller and the selected LSP at the origin point, with acknowledgement logged via the Platform.

 

5. Advanced End-to-End Shipment Tracking

5.1 Real-Time Logistics Chain Visibility

PapaExport.com provides multi-node, end-to-end shipment visibility powered by integrated APIs and webhook call backs from logistics service providers. Upon dispatch, a unique tracking ID is generated per shipment, which is mapped to the buyer’s dashboard.

Buyers may track logistics events at the following stages:

  1. Dispatch from Supplier’s Warehouse
  2. First-Mile Pickup Confirmation
  3. Transit to Port / Hub
  4. Export Customs Clearance (FOB/CFR/CIF terms)
  5. Vessel/Aircraft Departure
  6. Arrival at Destination Port
  7. Import Customs Clearance (if applicable)
  8. Last-Mile Delivery Initiation
  9. Proof of Delivery (POD) Upload

Each event update is timestamped and geo-tagged where supported. The tracking system is designed for high availability, low-latency refresh, and audit-ready logs for compliance and dispute resolution.

5.2 Notification Protocol

Automatic system-generated notifications (via email and in-dashboard alerts) are sent to stakeholders at each key milestone. Tracking data is also archived for up to [X] years for regulatory, contractual, and audit purposes.

 

6. Customs Compliance and Clearance

Buyers and sellers are jointly responsible for customs compliance as per the jurisdiction of export and import. PapaExport.com facilitates digital document exchange and maintains an immutable log of shipping documents, but does not act as an intermediary in the customs process.

 

7. Risk Transfer and Limitation of Liability

Risk of loss or damage to goods transfers in alignment with selected Incoterms PapaExport.com does not assume physical possession, nor does it act as a carrier or consignee. Liability for delays, damages, or disruptions rests with the contractual parties (buyer, seller, and selected LSP) and shall be governed by their respective contracts and carrier terms.

 

8. Dispute Resolution and Claims Management

In the event of delivery anomalies or disputes:

  • Claims must be submitted within 2 days of the delivery date or expected delivery date.
  • PapaExport.com provides a structured Dispute Management System to mediate claims where the platform facilitated logistics selection and payment.
